Position Overview

The Virtual Assistant (VA) will play a pivotal role in supporting our executive and creative teams by providing top-tier administrative, organizational, and communication assistance. The ideal candidate will be highly dependable, detail-oriented, and capable of maintaining composure under pressure while managing multiple priorities in a fast-paced, creative environment.

Candidates with military experience or transferable skills from military service (such as structure, discipline, accountability, and leadership) are strongly encouraged to apply .

Key Responsibilities

Administrative & Executive Support

  • Manage executive calendars, scheduling, and meeting coordination.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Organize and maintain digital filing systems, databases, and project trackers.

  • Track deadlines, project milestones, and deliverables for multiple production teams.

Operations & Project Support

  • Coordinate logistics for virtual and in-person production meetings.

  • Assist with procurement, vendor communication, and basic invoicing or expense tracking.

  • Maintain confidentiality and security of all company and client materials.

  • Support onboarding processes for new freelancers and team members.

Communications & Client Relations

  • Draft professional emails and reports on behalf of leadership.

  • Serve as a communication bridge between departments, clients, and external partners.

  • Handle inbound inquiries with professionalism, tact, and confidentiality.

Technology & Productivity Tools

  • Use cloud-based collaboration tools (e.g., Google Workspace, Slack, Asana, Notion, Zoom).

  • Manage data entry and reporting tasks with high accuracy.

  • Troubleshoot minor tech or access issues and liaise with IT support when needed.

Required Qualifications
  • 1+ years of administrative, operations, or virtual assistant experience.

  • Strong written and verbal communication skills.

  • Proficiency with Microsoft Office or Google Workspace tools.

  • Excellent time management, prioritization, and multitasking abilities.

  • High level of integrity, discretion, and professionalism.

Preferred Qualifications
  • Military background (veteran, transitioning service member, reservist, or military spouse).

  • Experience supporting creative or production teams.

  • Familiarity with project management software (Asana, Trello, Monday.com).

  • Comfort with fast-changing priorities and a collaborative environment.
